Executive reporting is not the process of placing every project update into a presentation. Executives do not need more project data. They need a clearer understanding of portfolio consequence.
In the monthly executive updates I have developed, I focus on meaningful progress, material changes, emerging portfolio risks, decisions requiring leadership attention, resource or dependency conflicts, and the outlook for critical business outcomes. The hardest part is deciding what not to include. A project-level detail may be important to the delivery team but irrelevant to the executive audience.
At the same time, a pattern across several projects may deserve attention even if none of the individual projects is red. AI can review approved project updates, compare forecasts with the previous month, group related issues, identify common dependencies, and draft portfolio-level themes. The PMO still needs to validate the facts and apply organizational judgment.
The goal is not to automate the executive presentation. The goal is to create enough clarity that executive time is spent making decisions—not trying to understand the situation. Good reporting reveals what leadership needs to know now.
