A Project Plan Is Not A List Of Dates

Practical ideas about applying AI to project artifacts, reporting, and portfolio leadership.

A project plan is not a list of tasks with dates beside them. It is a model of how the team believes delivery will happen. When I review a plan, I want to understand where the major decisions are, which activities depend on another team, whether the business has committed the necessary people, and whether testing, training, data conversion, security, and operational readiness are included.

I also want to know where the schedule contingency is and what happens if a critical assumption proves incorrect. I have established standard project plans because a common structure makes it easier to identify what is missing. Standardization also makes portfolio reporting, dependency management, and executive oversight possible.

AI can propose a work breakdown structure, identify common activities for that type of project, flag missing owners, and find schedule relationships that do not make sense. But an AI-generated plan is still only a hypothesis. The people doing the work must validate the estimates.

The business must confirm its availability. The sponsor must understand the tradeoffs. AI can help us build plans faster.

Good project leadership ensures those plans are credible.
